Civil-registry extracts such as house registration and marriage or birth records are issued by the district office (amphur/khet) that holds the register, and only the holder or an authorised representative can request one. Getting a current extract locally first is faster than any courier route, and it prevents a translation being produced against a superseded version of the record.

Work can begin the moment a legible colour scan of every page — including reverse sides, seals and any handwritten endorsement — reaches us by LINE or email. Phone photographs taken at an angle, with glare across the seal, are the single most common reason a file waits a day before drafting starts.

A certified translation, a notarial signature certification and MFA legalisation are three separate things and are not interchangeable. The organisation that will read the document — an embassy, a university, a registrar, an employer — is the only reliable source for which of them it requires. One sentence of confirmation from them saves an entire round trip.

Notarial certification of a signature requires the signatory to sign in front of the certifying lawyer, and some consular counters require the applicant or a formally authorised representative. Everything else — drafting, translation, checking, submission and return delivery — can be handled remotely, so map the in-person steps first and build the schedule around them.

Thai names can be romanised in several defensible ways, and the receiving authority compares your documents against each other. Choose the spelling exactly as printed in the passport machine-readable zone and keep it identical across every translated document; where a historical document differs, it is documented in a translator's note rather than silently corrected.

Outside our staffed offices, documents are exchanged at public locations you nominate, by appointment. These venues are independent businesses and public facilities with no affiliation to us; we ask for at least a few hours' notice so a courier run can be scheduled and the handover confirmed in writing.

Thailand's accession to the Apostille Convention changes how documents are accepted in other contracting states, and an authority may be operating on either the old chain-legalisation habit or the new certificate during the transition. Confirm the current status on the HCCH status table and with the receiving body, then choose the route once.

Some records — an old degree parchment, a hand-written registry extract — cannot be reissued quickly, or at all. Where a physical original must travel, use a tracked service, keep the tracking record, and retain a full colour scan of every page beforehand so the file can be reconstructed if the packet goes astray.

Registrars apply the same regulations but differ in local practice: the format of an extract, whether a same-day reissue is possible, and which supporting identification they ask for. Call your own district office to confirm what it will hand you before you build a timetable around a friend's experience in another province.

Many receiving authorities want an extract issued within a defined recent period, and the clock runs from the issue date of the source document, not from the date of translation. Sequencing the reissue close to the submission date is usually cheaper than repeating the whole chain because a certificate aged out mid-process.

Blank reverse sides, continuation pages and stamped endorsements are all part of the document as issued. Omitting them produces a translation that does not correspond page-for-page with the original, which a careful case officer will notice and query.

Consular and district counters keep their own service hours and cut-off times, and a route that is comfortable over a week may be impossible in two days. Stating the submission date at the first message lets the sequence be planned around those counters instead of discovered against them.

Where a relative or colleague collects a completed bundle or lodges it on your behalf, the counter or the courier may require identification and a written authorisation naming that person. Preparing it in advance avoids a wasted trip that costs more time than the certification itself.
